Clients
How client accounts and guest bookings work.
Your clients can book with you in two ways: with a client account or as a guest. Understanding the difference helps explain why some bookings arrive confirmed instantly and others stay pending.
Client accounts
The first time a client books, they can create a client account by signing in with Google or registering with email and password. With that account:
- Their bookings are confirmed instantly, without waiting for your review.
- They can log into their own portal to see their upcoming appointment and booking history.
- The next time they book with you (or with any other business on Kalendar), they can use the same account.
Guest bookings
If a client prefers not to create an account, they can book as a guest by providing just their name, email, and an optional phone number. These bookings:
- Stay pending confirmation for 24 hours, waiting for you to confirm them from Calendar.
- The client gets an email letting them know their request is under review, and another email once you confirm it.
Why this difference matters
As the business owner, you don't need to do anything differently based on how the client booked — both types show up in your Calendar. The difference is whether they need your confirmation (guest) or are confirmed right away (client account).
The client portal
Clients with an account can log in anytime to their portal to check the status of their appointments, without having to message you to confirm it. This cuts down on repeat "is my appointment confirmed?" questions.
