Let your clients book an appointment by chatting with your business's WhatsApp number.
WhatsApp booking is an extra front door onto the same Kalendar booking system: your clients can book an appointment by chatting directly with your business's WhatsApp number, without going through your public page.
What you need before turning it on
WhatsApp booking uses your own Twilio account (you don't need this for Kalendar in general, only for this feature):
- Create a Twilio account and get a WhatsApp-enabled number.
- From your Twilio console, copy your Account SID and Auth Token.
Setting up your WhatsApp
Go to Settings → WhatsApp:
- Enable WhatsApp booking — the main toggle.
- Twilio Account SID and Twilio Auth Token — paste the values from your Twilio console. If you already have an Auth Token saved, you can leave this field blank when editing to keep it as is.
- WhatsApp number — the Twilio number your clients will use, in international format (e.g.
+34600000000).
The system automatically detects whether your number is in sandbox mode (testing) or production mode, based on the type of number — it's not something you set manually. In sandbox mode, each client needs to join Twilio's test environment first before they can chat with you; in production, anyone can message you directly.
Click Save configuration to apply the changes.
How a client books via WhatsApp
When a client messages your WhatsApp number for the first time, the conversation walks them through it step by step:
- Choose a service from a list.
- Choose an available date.
- Choose an available time for that date and service.
- Confirm or cancel with a button tap — confirming creates the appointment just like any other booking (confirmed instantly).
If someone else books that exact slot right before your client confirms, they're notified and offered updated times, same as on your booking page.
WhatsApp confirmations on appointments you create
When you create or edit an appointment manually from Calendar (see the Calendar guide), you'll see a Send confirmation via WhatsApp option alongside the email one, as long as you have WhatsApp booking enabled and the client has a phone number on file.
